Key Responsibilities:
- Provide high-level administrative and strategic support, including handling confidential information, preparing documents, and coordinating meetings.
- Keep projects, departments, and job sites moving forward by tracking deadlines, following up with team members, and ensuring tasks are completed on time.
- Ensure the Owners’ time is prioritized effectively.
- Assist with reviewing contracts, permits, and compliance documents related to construction, land development, and real estate transactions.
- Assist with reviewing project costs and forecasts.
- Create, organize, and maintain electronic and physical files for legal, financial, and operational purposes.
- Serve as a positive, proactive communicator with internal teams to keep progress moving and resolve roadblocks.
- Support with various day-to-day needs, which may include personal tasks such as getting coffee, running errands, or handling miscellaneous personal matters.
Qualifications:
- Minimum 5 years of experience as an Executive Assistant, Project Coordinator, or similar high-level administrative role.
- Background in real estate, construction, or land development required.
- Knowledge of legal and contract processes within construction or real estate transactions.
- Strong financial acumen — able to read budgets, reports, and forecasts.
- Exceptional organizational skills with the ability to manage multiple priorities at once.
- Strong communication and interpersonal skills; able to motivate and hold others accountable in a professional manner.
- Proficient in Microsoft Office Suite, project management software, and cloud-based document systems.
- High level of discretion, professionalism, and problem-solving ability.
