Manager/Supervisor
The Commercial Maintenance Supervisor is responsible for overseeing and coordinating maintenance activities for commercial properties while performing administrative and operational duties from the corporate office. The position does not include direct supervision of company maintenance staff, but does require oversight, coordination, and quality control of vendors and contractors to ensure work is completed safely, on time, and in accordance with company standards.

The Commercial Maintenance Supervisor evaluates building systems and facilities, identifies maintenance and repair needs, coordinates corrective and preventive maintenance activities, and serves as a key liaison between corporate leadership, property management, and external service providers.

Key Responsibilities and Duties
  • Evaluate building systems and facilities to diagnose issues and determine appropriate repair, replacement, or preventive maintenance solutions.
  • Perform select maintenance and repair work in-house, as appropriate, to control costs and support budgetary goals.
  • Coordinate and monitor maintenance and repair work performed by vendors and contractors, ensuring quality workmanship and adherence to scope, timelines, and safety requirements.
  • Review and prioritize service requests to ensure timely resolution.
  • Conduct regular inspections of buildings, grounds, and common areas to identify maintenance needs, safety concerns, and potential liabilities.
  • Identify, coordinate, and oversee qualified vendors and contractors for maintenance, repair, and capital improvement projects.
  • Obtain, review, and compare bids for services and recommend vendors based on cost, quality, and performance.
  • Ensure contractors meet insurance, licensing, and compliance requirements prior to commencing work.
  • Monitor contractor performance to ensure work is completed correctly, on schedule, and within approved budgets.
  • Serve as the primary point of contact for vendors and contractors regarding maintenance-related activities.
  • Perform administrative maintenance functions from the corporate office, including documentation, reporting, budgeting support, and coordination with Manager of Business Development
  • Generate and review purchase orders, invoices, and maintenance documentation for approval and recordkeeping.
  • Maintain appropriate inventory levels of parts, tools, materials, and supplies; coordinate ordering through approved processes.
  • Ensure maintenance records, inspections, and compliance documentation are accurate and up to date.
  • Verify completion of work through inspections and follow-up, addressing deficiencies as needed.
  • Maintain a high level of professionalism and responsiveness when interacting with tenants, property managers, vendors, and internal stakeholders.
  • Communicate clearly and effectively regarding maintenance issues, timelines, and resolutions.
  • Perform other related duties as assigned.
Qualification Requirements
  • High School Diploma or GED required.
  • Minimum of 3–5 years of experience in commercial building maintenance, property maintenance, facilities management, or a related trade.
  • Strong working knowledge of commercial building systems, including:
    • HVAC systems (diagnostics, repairs, and preventive maintenance)
    • Electrical systems (basic to intermediate)
    • Plumbing systems (basic to intermediate)
    • General carpentry and building repairs
    • Drywall and painting
    • Roofing, gutters, and exterior building components
    • Irrigation and landscaping systems
    • Concrete, sidewalks, and foundation-related repairs
Skills & Abilities
  • Ability to balance hands-on maintenance work with administrative and vendor management responsibilities.
  • Strong judgment in determining when repairs should be performed in-house versus outsourced to control costs and meet timelines.
  • Ability to evaluate maintenance needs and manage vendors and contractors effectively.
  • Strong organizational, administrative, and time-management skills.
  • Excellent written, verbal, and reading communication skills.
  • Ability to interact professionally with all levels of personnel and external partners.
  • Physical ability to perform inspections and hands-on maintenance and repair tasks as required.
